Redwood Park is a family owned and operated business. We expect our guests to treat it with the same respect they would treat their own property.
Guest and Visitors must comply with the Terms and Conditions, and instructions from the Management or Staff during their stay and must notify staff of any issues as soon as practical.
These Terms and Conditions relate to the details stated in your Booking Agreement. Your booking dates cannot be confirmed until a minimum $1000 deposit (as at 1/11/18) has been paid. This deposit is non-refundable. Redwood Park reserves the right to cancel any booking due to unforeseen circumstances or force majeure . Monies will only be refunded ( excluding the initial deposit) if we are able to successfully claim on our business insurance.
Bookings and Pricing
You may make a booking with us for the provision of an event (“Event”) by telephone or in writing (“Booking”).
A Booking will be accepted by us when we forward you a confirmation email detailing your event and the venue fee (“Fee”) and attaching these Terms and Conditions. We reserve the right to accept or reject a Booking for any reason.
Our Fee is given according to prices at the time. The final invoice issued no later than 2 weeks prior to the event will be adjusted for any changes to guest numbers/beverage package selected.
The Fee is inclusive of GST.
Payment Terms
Initial deposit – $1000 non refundable deposit
2nd payment – $3000 of the total is due 9 months out from the wedding.
3rd payment – $2000 of the total is due 6 months out from the wedding.
Final payment – the balance is due 2 weeks out from the wedding. The final invoice will be adjusted to take into account final guest numbers for any drink package taken.

Cancellation Policy
If you wish to cancel your event, you must confirm the cancellation in writing to us.
The initial deposit of $1000 is non-refundable .
Cancellations / Change of dates 9 to 12 months prior to event
$4000 of the total invoice will be required to be paid in lieu of the property not being able to be re-let for the same period. Redwood Park will make every effort to re-let the property within the given time frame and if successful, will refund to the booking party all monies paid less $1000 initial deposit
Cancellations / Change of dates 6 to 9 months prior to event
$6000 of the total invoice will be required to be paid in lieu of the property not being able to be re-let for the same period. Redwood Park will make every effort to re-let the property within the given time frame and if successful, will refund to the booking party all monies paid less $1000 initial deposit.
Cancellation / Change of dates less than 6 months prior to event
100% of full invoice amount is payable. If we are able to re-let the property for the same period, then we will refund 80% all monies paid.
Postponement Policy
Current Policy (During COVID)
If you wish to postpone you date for any reason, we require 50% of the total invoice to be paid as a postponement deposit.
Restriction on postponement dates may apply during peak months being March, April , May, September, October, November and December.
No combined Friday and Saturday night stays will be permitted for any postponed weddings.
Should you wish to postpone then any updated terms and conditions and pricing will apply for postponements greater than 12 months.
Excluding COVID
Any postponements within 6 months ( excluding COVID where we are unable to operate and no penalty applies) is effectively a cancellation and as such the full invoice amount is payable. If we are able to re-let the property for a wedding for the same period, then we will refund 80% all monies paid.
Any postponements greater than 6 months but less than 10 month, 75% of all monies are payable. If we are able to re-let the property for a wedding for the same period, then we will refund 80% all monies paid.
Any postponements greater than 10 months are fine. Should you wish to postpone then any updated terms and conditions and pricing will apply.
Property Access and Venue Setup.
Two night bookings
Where possible, access to Redwood Park Wollombi will be from 12:30pm, 1 day prior to your event. For example, if your wedding is on the Saturday, access will be on the Friday from 12.30pm. Other times can be arranged with prior notice.
One night bookings or where your event is on the first night of a 2 night stay
Access to The Woodhouse is from 9.30am and The Barnstay access is from 11.30am (to allow for the venue to be cleaned and changeover). Bags can be dropped off from 10.30am. Every effort will be made to have the Barnstay available as soon as possible.
Please note: The Woodhouse or its furniture is not to be used for other parties/functions unless preauthorised. Please ensure you bring any necessary equipment, i.e. ladders, extension cords, cable ties etc. for decorating purposes.
Sunday Wedding
Due to licensing restrictions the bar closes at 10pm so all last drinks and bottles of wine etcc need to be ordered/opened prior to the bar closing. The venue of course does not close until 11.30pm.
Venue and Furnishings. The Woodhouse is rented as an empty space, ‘a blank canvas’. There will be no furniture or decorations provided other than cross back chairs and herringbone tables corresponding to the number of guests. There is also a barrel cake stand and a second barrel with bar stools on the dance floor. No other furniture is provided.
Post wedding ceremony, clients have access to two barrel bars and barrel esky.
Venue Pack Down. If The Woodhouse is booked the following day, you will be required to remove all decorations and florals after the conclusion of your event or no later than 6am the following morning. This will allow the cleaners to come in. All fridges will also need to be emptied where applicable.
Venue Curfew. Your booked venue has a venue and music close of 11.30pm. Service of alcohol finishes at 11.15pm. We recommend organising a bus to collect guests and deliver them to their accommodation/home. All guests, other than those staying on the property, must have left the venue by midnight
Music. All music must be off by designated time (11.30pm) and guests who are not booked into The Barnstay must leave the property by no later than 12.00am.
All amplified music (eg DJ’s, Bands) must plug directly into our audio system which comprises of 12 speakers (8 indoor and 4 outdoor), 2 subwoofers and amplifier/mixer. No additional speakers are allowed. This ensures compliance with strict council conditions. Four XLR (x2) points are provided for bands or DJ’s to plug into our system. Alternatively couples using their own playlists can Bluetooth directly into the system. Any bands with drums must play inside.
WIFI: Free Wifi is available for guests of The Woodhouse.
Accommodation Access. Check in time to The Barnstay is from 11.30 pm or earlier as described above.
Check out time is 9.30am. The property should be left in a similar state to its condition on arrival. Additional cleaning charges will apply if this is not the case. All rubbish should be placed in bins provided outside. Please ensure all windows and doors are closed, the fan/heaters are turned off and fire place has been extinguished.
Early check in and late checkout may be available on request.
Games & Furniture Package. RedWood Park offers an optional outdoor package for guests. The outdoor package consists of a double peacock chair , an outdoor lounge suite with carpet, indoor velvet 3 seat lounge, 3 seat velvet love seat, side table and coffee table, x3 pallett coffee tables with a mix of single and double stools, x12 folding deck chairs, x6 high bar tables with stools, x4 wine barrels and outdoor games . Suitable substitutes will be made in the event a particular items becomes unavailable. Clients will be responsible for any damage caused to elements of the package. The outdoor package is $1200 or as otherwise agreed. Other items will be added over time for no additional charge. The outdoor package can be added on as an extra at any time prior to your big day.
Responsibility and Security. Redwood Park Wollombi does not accept any responsibility for damage to or loss of any articles or property left at Redwood Park Wollombi prior to, during or after the event. The CLIENT agrees to be responsible for any damage done or subsequent repairs at The Woodhouse or The Barnstay or any other part of Redwood Park Wollombi by the CLIENT, their guests and other invitees.
Multiple events: Multiple events are not permitted on the property unless specifically permitted by Redwood Park. An additional charge of $3000 will apply if a second event with greater than 50 people is requested using the grounds of Redwood Park ( this excludes The Woodhouse).
Noise. Even though we are on a large property, noise travels easily. Guests and visitors must not create noise which is offensive to neighbouring properties, especially after 11.30pm. Please show respect.
BBQ. We provide a clean BBQ with gas. If you use the BBQ please ensure that it is cleaned before you leave.
Camping: We allow camping for no charge on our property for guests attending any wedding. Please note that we limit the number of tents to 15. There are no facilities in the paddock where the campers are located. As such each couple will be required to provide /hire a portable toilet for their guests. A portable shower can be hired from Redwood Park at an additional cost of $600 should this be required. Any campers are not permitted to use the facilities of The Barnstay. Tents must be removed upon check out and no later.
Parking. Cars must be parked in the designated parking and overflow areas. Vehicles are not allowed onto the lawns at any point.
Outdoor Fires. Fires on property grounds are strictly prohibited. Use of the fire pit is by approval dependent on local fire conditions.
Smoking. The Barnstay and The Woodhouse are strictly a non-smoking environment.
On the day. A Redwood Park team member will attend on the day to co-ordinate with third party suppliers and ensure wedding facilities are set up and working correctly until the commencement of the reception.
Catering. Redwood Park Wollombi has an exclusive catering agreement with Fennel & Co Catering. All catering for your wedding event is to be provided by them. Agreements and catering costs are handled directly by the caterer.
Children. Children/babies are welcome at our venue but are the full responsibility of their parents/carers. Please be aware that, as we are in the country, there are unfenced dams and water hazards on the property, and there may also be snakes and spiders etc.
Cleanup after function. Thorough cleaning (i.e. cleaning toilets, mopping floors etc.) and disposal of rubbish is the responsibility of Redwood Park Wollombi. Flowers, table decorations and other items bought in for the reception must be removed by the client.
Service of Alcohol. Service of alcoholic beverages is limited to caterers and their staff who have full RSA Certification and will comply with the Responsible Service of Alcohol laws applicable in the state of NSW. RSA staff will need to be attendance the entirety of your event.
Alcohol: The Woodhouse offers a number of different alcohol packages. Both by consumption and 5 hour alcohol packages includes premium glassware across all the venue ( Lakeside and Woodhouse). All packages exclude bar staff which is charged by Fennel & Co.
All alcohol packages are handled directly with The Woodhouse
Release and Indemnity
Notwithstanding any other provision of this Agreement, and to the extent permitted by law, you agree to release us and not hold us liable in any circumstances for any: (a) indirect, consequential, incidental, special or exemplary damages, expenses, losses or liabilities; or (b) loss of profits, business interruption, loss of revenue, economic loss, loss of goodwill, loss of opportunity or expectation of loss or loss of production, which may be suffered or incurred by you in respect of the Booking.
You agree that the liability of us in respect of the Booking will be limited, to the extent permitted by statute, to the Fee payable by you, to the extent that the liability is incurred under, in relation to, or in connection with this Agreement.
You shall indemnify, defend and hold us harmless for and against all claims, liabilities, suits, actions and expenses, including costs of litigation and reasonable legal costs, incurred by you arising directly or indirectly out of: (a) loss of or damage to property; (b) claims by persons in respect of personal injury or death; (c) any inaccurate or misleading information; or (d) any breach of this Agreement, to the extent the loss, damage, injury or death was caused by an act or omission by you.
General
This Agreement is governed by and must be construed according to the laws from time to time in force in New South Wales. Each party irrevocably submits to the nonexclusive jurisdiction of the courts of New South Wales.
This Agreement may only be varied in writing signed by both parties
This Agreement constitutes the entire agreement between the parties in relation to its subject matter and supersedes any prior agreement of the parties.
Acceptance
You may accept this Agreement by either: (a) by continuing to engage our services in relation to the Booking after receipt of these Terms and Conditions; or (b) by orally confirming acceptance; or (c) by sending us written confirmation to that effect.
